Terms & Conditions
Rates- New Zealand Dollars and inclusive of GST. All rates are quoted per room except for the dorm rooms where they are per bed on a share basis.
Rates may changed depending on the season or special we are running but the rate at the time of your reservation is the valid rate.
We pre-authorise all credit cards on the day of arrival to ensure the credit card provided is valid and has sufficient funds.
A pre-authorisation places a hold on the credit card, for a specific amount, that will be released on check-out.
This process validates the credit card attached to the reservation. It also, protects the cardholder and the merchant from increasing fraud incidents.
The amount we hold is NZ$1 and can be for up to 10 days. We advise guests it can take between 5-10 working days to appear as a part of your available balance.
If the reservation is still live in our system, the day of arrival, we charge the full amount of the reservation. We treat this as a regular reservation. However, if you do not turn up to our property by 9am the next morning. We reserve the right to mark you as a no show and no refund will be given.
Right to Cancel.
We may cancel your reservation at any time, with immediate effect by giving you notice. Being email or phone. For many reasons.
We may cancel your reservation in an event that is out of our control (including industrial actions, fires, earthquakes, explosions, flooding, loss of power, loss of water or due to an emergency evacuation) that makes your room unavailable to you. We will contact you with as much notice as possible to give you time to find alternative accommodation. If this does happen to you, you are not required to make any sort of payment to us.
We will cancel your reservation if you fail to pay us when we require payment or if you or a person under you fails to adhere to our rules/regulations or terms and conditions. If you are checked in, we will cancel your reservation and you will need to vacate the premise immediately. No refund will be given.
Right to Decline
We have a right to decline any guests stay if, for any reason, we feel unsafe or uncomfortable. Our staff and guest’s safety are paramount to us. We judge purely based on behavior and attitude.
Bookings made through a third-party site are subject to that sites terms and conditions. Please be aware these are subject to change.
All guests must be 18 years or older to stay with us or must be accompanied by an adult 18 or over.
Maximum Room Occupancy.
The maximum room occupancy per room type is specified on all websites. If you do not book the right number of beds suitable for your party of guests, it could result in us turning you away or extra charges.
Arrival and Departure.
Check-in time is 14:00 (2pm) NZT.
Early check-in is subject to availability on the day of arrival.
We have a luggage store available in Reception to help store your bags until your room/s become available for check-in.
On check-in, all guests must provide valid ID, in the form of a driver’s license or a passport.
Please advise us if you have made multiple reservations on different dates. We will do our best to accommodate you in the same room, however this is subject to availability.
We need to be given reasonable notice for all guests arriving after 20:00 (8pm) NZT.
Check-out time is 10:00 NZT. All guests must fully vacate their room by this time. Luggage can be stored in our luggage store until a later time, but all belongings must be cleared out of the room by 10:00 NZT.
Late check-out is subject to availability and, must be pre-organized. If not, this will incur a late check-out fee.
If you wish to extend, please contact us with as much notice as possible. You must let us know prior to 10:00 NZT on the day of check-out. Any extensions after 10:00 NZT on the check-out date may still incur the late check-out fee on top of the additional nights.
All extensions are subject to availability and could result in a room change.
All visitors must be signed in by a named Guest before entering the complex. The named guest is responsible for their visitor and is liable for any damages and fees the visitor may incur while on site.
Every room is allowed a maximum of 2 visitors. Unless otherwise organized with office staff.
Visiting hours end at 19:00 (7:00pm) NZT. All guests must be signed out by this time to comply with our Fire and Safety procedures.
If a guest is not signed out and is still on site after 19:00 (7:00pm) NZT we reserve the right to charge a NZ$50 fee for over staying the visitor hours.
Smoking is not permitted outside our designated smoking areas. These are labelled around site. This includes the use of vapes.
Any guest caught smoking in the room is liable to pay a cleaning fee.
Any guest suspected or caught tampering with smoke alarms and sprinklers will be asked to leave the premise immediately without refund.
Fire Alarm Charges.
Our fire alarms are connected to our security company, then directed to our local fire service. If there is evidence to suggest someone has tampered with heat or smoke sensors or sprinklers to purposefully set it off, the guest will be liable to pay a fee of NZ$1,000.
If any unnatural causes, such as a guest’s negligence, over use of anti-perspirant or vaping/smoking in rooms, causes the fire alarms to be set off. We reserve the right to ask you to vacate the premise without refund.
Alcohol and Drug Use.
We do not allow any guest to bring their own alcoholic drinks onto our premise. We have an onsite Bar that operates from 15:00 (3:00pm) NZT to 21:00 (9:00pm) NZT or 22:00 (10:00pm) NZT if we are busy. After our Bar is closed, we ask guests to vacate the premise to consume alcohol.
Intoxicated guests that could be a risk to themselves or others will be asked to leave the premise immediately.
The use of illegal substances or drugs is not permitted on our property and will result in immediate eviction without refund.
Service of Rooms.
We do not service rooms daily. Rooms are only serviced on check-out.
We ask guests to please be mindful of all other guests staying with us for the duration of your stay. Noise levels should be kept to a minimum between the hours of 22:00 (10:00pm) NZT to 06:00 NZT.
If you, a visitor or member of your group/s causes damage to any part of our complex, injures another guest or causes damage to their property, or fails to comply to these Terms and Conditions, we reserve the right to:
- Cancel your reservation with immediate effect and (if needed) have you removed from the premise.
- Charge a soiling fee of NZ$50 per person and/or the cost to have the damaged property repaired or replaced.
- Charge you the cost of cleaning plus admin time.
- Refuse future reservations from you or any person of your party of guests.
We will not be liable for refunds or any form of compensation under these circumstances.
Belongings left behind and found by staff will be securely stored for 1 month. If the property is of high value or is a personal item (passports, credit cards, wallets etc.) it will be handed over to the Rotorua Police Station after a weeks’ time. All items of lesser value will be donated to our favored charity shop after the 1-month period.
The Backyard Inn is not liable for lost property or storage.
If you believe something was lost or misplaced on our complex, please advise the Reception as soon as possible so we can locate it and return it to you as soon as possible.
Guests are liable for all postage, shipping and handling charges for returning lost property. Guests can always collect it in person if arranged beforehand.
If you are not satisfied with the way we have responded to your enquiry or wish to open a dispute with us. Feel free to contact us at email@example.com. We endeavor to resolve all issues brought to our attention promptly.
If we believe the dispute needs to be taken further/higher we will pass it over to management.
Full payment is taken from the credit card provided on the reservation, the morning of check-in. Unless, otherwise organized.
All reservations must be guaranteed with a valid credit card from the time of booking.
The Backyard Inn is not responsible for currency conversions and any questions regarding this must be directed to your credit card company or bank.
If your card declines, we reserve the right to cancel your reservation. We charge all cards at 11:00 (NZT) 11am, every day. If a card declines and we are not provided with alternative details by 17:00 (NZT) 5pm we reserve the right to cancel your reservation with immediate effect.
There is a 2.8% surcharge for credit card payments.A receipt will be emailed to you when the payment is made.
Group Reservations require a 20% deposit to confirm your reservation.. Please email us at firstname.lastname@example.org.
Full payment is required on arrival
A group bond is taken for behaviour & damage management.
We require 72 hours’ notice prior to arrival for cancellations.
If you cancel within the 72-hour period, we will charge you, minimum, the first nights stay. This price varies.
The Backyard Inn will not be liable for any booking refunds if a guest wishes to cancel due to their own decision after check-in.
We do not allow long term stays for the guests. Guests cannot stay onsite for more than a week.
Groups bookings need to be cancelled 14 days prior to arrival. (Conditions apply).
The deposit of 20% will be held by The Backyard Inn as a cancellation fee.
