Terms & Conditions

- After booking you will be requested to send photo identification (for ALL people in the booking) within 48 hours of booking (within 24 hours of booking if you're arriving within the next 7 days). Do not book if you are not willing or not able to provide photo ID for ALL guests. NB: if you are concerned about identity theft, please feel free to block out your license number and birthdate (we only need your name, photo and address).
- Check-in is after 2pm. On the day of departure, check out is prior to 10am (late check out, after 10.15am, is automatically charged at $50 per hour (per cabin) or part thereof, to cover cleaning staff costs while they wait for you).
- Children and babies are not permitted (this property is adults only, and is not suitable for children).
- Bringing more people than your confirmation letter states (including babies and children) will result in your reservation being instantly cancelled, without refund and everyone in your group will be required to leave immediately. You will then need to seek accommodation elsewhere. We will not exceed our legal maximum occupancy permits, all people must be accounted for when booking.
- We do not allow pets or any animals on the property under any circumstances, this is for the safety of your animal (and ours). Due to the close proximity of our pet alpacas who will sound a threat alarm, chase and harm any pets/animals they are not familiar with, smuggling in your pet/animal will result in your booking being cancelled without refund and you will be asked to leave the property with your pet/animal immediately. Additional cleaning fees will apply if your pet has been inside the accommodation. Also, please note pets are not permitted entry into Wilsons Prom National Park (fines apply).
- Promhills Cabins property is for the exclusive use of our guests ONLY. No additional visitors are permitted. If you have friends/relatives staying elsewhere or living locally, for the security, privacy and serenity that our other guests are entitled to, you will need to meet/gather offsite. Do not give anyone else the security gate pin code (CCTV cameras monitor the gate/entrance).
- By making a booking, you confirm that you agree you are entering into a contract with us, you accept our terms & conditions and authorise us to charge your card for the booking amount and any additional charges or damage caused to Promhills Cabins property including smoking (or burning incense or lighting of any flammable item) inside the accommodation, extra guests, theft, damage, Promhills property removed, stains, late departure, excessive cleaning. The person making the booking is accepting the contract terms and conditions on behalf of all persons in the booking. Use of the property, its contents, equipment and facilities are at your own risk.
- Special requests and cabin selections will be granted where possible, but can not be guaranteed.
- Please note: There is a dam on the property, along with farm animals - we are a rural property with all the associated hazards. For safety, guests are not to climb on or go through any fences or open any gates at any time.
- If it occurs, the owners will attempt to remedy any stoppage in supply of wifi, TV reception, water, electricity or other service, however, can not accept liability for any inconvenience arising from temporary area-wide outage. Nor can we accept liability for any loss or damage caused by weather conditions, natural disasters, acts of God, or other circumstances beyond our control or for loss, damage or injury to persons or their personal property.
- Breaking any federal, state or local law is grounds for immediate eviction, without refund. Management reserves the right to remove, refuse entry or cancel the booking of any persons if deemed necessary.

Payment Policy

- Full payment is required at the time of booking. We do not hold rooms without payment.
- $100 bond (per cabin) will be charged, 14 days prior to your arrival ( we will also send entrance gate pin code and keysafe details at this time), Bond will be refunded within 24 hours after your departure
- $10 admin fee will be charged if the card you have given us declines the automated bond or payment and we need to contact you to seek alternate payment method and then re-process your payment. If you do not respond to alternate payment method request within 24 hours, your booking will be automatically cancelled, and refunded, with 10% of the booking total retained as a cancellation fee.
- For ALL bookings, we require at least one guests' direct mobile phone number and email address. We also require photo ID for ALL people who will be staying here, regardless of who is making the booking (this includes agent, ITO and OTA bookings).
- Additional/different payment and/or cancellation policies may apply if you chose to book through a third party, check your booking confirmation.
- We use a dynamic pricing, so rates may change without notice. Price will not be guaranteed until you have received a booking confirmation and paid a deposit, then your price is locked in. If a lower rate is later displayed than you booked, we unfortunately cannot alter the price after a booking confirmation has been issued, just as we won't increase your price if rates rise after you've received your confirmation.
- Making an enquiry is not a booking. We reserve the right to confirm a booking to the first person to complete payment, regardless of who enquired first.

Cancellation Policy

PLEASE NOTE: All cancellations must be notified in writing, either email, SMS or web-chat.

The below cancellation policy is for direct bookings only. Third party website bookings, travel agent bookings or voucher bookings may have a different cancellation policy, refer to your third party booking confirmation letter. Please ensure you have read and understand the cancellation policy associated with your booking.

- Cancellations with more than 14 days notice, 10% of the booking total is retained as cancellation fee.
- Cancellations with less than 14 days are not refundable unless we are able to rebook your dates, in full, in one single replacement booking, then you will be refunded, less 10% admin fee. You will be notified, within 24 hours of your original check-in date, if we are able to resell your cancellation as per above, noting that we do not accept new bookings within 48 hours of arrival, so a replacement booking must be secured before that time). However, we will gladly change the name on a booking, with phone, email & ID of new guests provided with more than 48 hours to arrival ($50 booking change admin fee applies), so if you can't make it - ask your friends or family if they would like to come in your place.
- Cancellations within 48 hours of arrival, failing to arrive on booked date, or choosing to depart early, are not refundable or replaceable. We do not accept new bookings within 48 hours of arrival, so these bookings cannot be refilled.
- There will be no refund if management is forced to require you to leave the premises (including if you arrive with more people than booked for or pets).
- $50 administration fee applies to changes to bookings.
- Date changes are only permitted with more than 14 days notice (booking change admin fee applies). Date change requests within 14 days area treated as per cancellation policy and are only refundable if able to be rebooked.
- We STRONGLY recommend travel insurance to cover you for any unforeseen circumstances.
- Unfortunately, very very rarely, circumstances beyond our control may mean that we need to cancel a booking (for example, in the case of previous guest causing damage beyond repair in time for your stay or a death/severe illness in our family). If this happens, we will refund you 100% and assist you with the contact details of alternate accommodation providers and this will end any and all obligations we have to you.

For Agent or ITO bookings:
- The above T&C's still apply.
- NB: We require the name, email address, phone number for at least one person and photo ID for ALL people who will be staying here (do not book unless you can provide this).

Covid Policy:
Now the government has removed Covid isolation requirements, Covid is treated like any other illness or reason for cancelling, standard policy applies and you will need to claim the cancellation costs against your travel insurance policy (NB: we STRONGLY recommend obtaining a travel insurance policy as soon as you make a booking if you wish to be covered in case you need to cancel).
